Equipment Rental Coordinator

The rental coordinator’s primary responsibility is to identify specific needs of existing or potential customers (internal and external) and provide solutions that ensure profitability through total customer satisfaction, as defined by the customer. Counter and Parts experience a plus but not necessary. We will train the right individual.

Job Responsibilities


  • Answer rental calls and assist customers with their specific needs, closing deals, scheduling and assigning of hauling equipment if requested.
  • Set up rental documents, billing, invoicing and open all rental service work orders.
  • Monitor rental planned maintenance (PM), overtime billing and abuse billing.
  • Serve as the point of contact for vendors and internal personnel for all rental and hauling equipment needs. Perform customer service to ensure needs are met.
  • Provide assistance to the salespeople and technicians with rental orders and services.
  • Maintain filing and keeping all files up to date.
  • Perform various other duties as assigned and required.


  • Schedule the daily hauling runs and provide assistance to the hauling drivers.
  • Process hauling logs, invoicing, billing and maintain filing.

  • Provide assistance to each member of the rental team and assist the hauling drivers.

Essential Skills

  • Solid understanding of general business management principles and practices involved in managing a day-to-day operation
  • Knowledge of the equipment rental market (products and competition), is preferred
  • Knowledge of sales management
  • Basic understanding of the construction market and job phases
  • Good communication and problem-solving skills
  • Solid computer skills

Education Requirements

Experience with a variety of equipment preferred but not required. Wage is commensurate with experience.
